Executive Assistant to the President

Incumbent: OPEN

Reports to: President and CEO

RESPONSIBILITIES:

  • Maintain the President's calendar and files. Schedule appointments and conference calls and make travel arrangements.
  • Coordinates and participates in meetings and conferences and special projects, assist in drafting agendas, record minutes, preparing presentations, transcribes summary of meetings and provides appropriate meeting follow-up as determined by the President and CEO.
  • Drafts routine correspondence with includes editing documents and gathering information as requested by the President and CEO.
  • Updates records and maintains an efficient filing system for the CEO, in cooperation with other administrative staff and in accordance with ABMS policies.
  • Act as President and CEO's liaison between ABMS staff, Board of Directors, Executive Committee, Member Boards and customers.Communicate the action items of the President/CEO to others and help facilitate the completion of such action items.
  • Handle confidential and/or priority correspondence for the President related to ABMS or the ABMS Foundation.
  • Assist in coordination with Director of Member Services of Governance Committee agenda books and other individual committees as designated by the President.
  • Evaluate and recommend equipment and supplies for the administrative functions needed by the President and CEO, working with the marketing communications and finance and administration departments.
  • Share in handling incoming phone calls and processing of mail with other administrative staff.
  • Act as a representative of the ABMS in response to inquiries.
  • Participate in ABMS project/team meetings, recruitment or staff training activities, as requested.

SKILLS AND ATTRIBUTES:

  • Customer focused with the ability to maintain the highest levels of excellence.
  • Strong interpersonal skills with a high degree of integrity and sensitivity to confidentiality.
  • A motivated self-starter with organizational skills and an ability to communicate with executives, co-workers and outside organizations.
  • Excellent skills in MS Office computer programs (Excel, Word, PowerPoint) and the ability to prepare clear, concise reports, letters and documentation.
  • Able to work independently, prioritize workload, manage multiple projects and meet deadlines with minimal supervision.
  • Knowledge of medical organizations desirable.

EDUCATION, TRAINING AND EXPERIENCE:

  • Bachelor's degree or equivalent experience.
  • Minimum of 10 years administrative experience, with at least 5 years at a corporate or professional services executive level .

Hours: 37.5 hours per week, M-F, 8:30 a.m. to 5:00 p.m. Local travel and after hours work is required periodically.
